Midwest Young Artists Conservatory is seeking a dedicated individual who shares our passion for music education to join our team! 

The Registrar position is part-time, 24-30 hours/week. The Registar is the primary attendance/auditions/membership support staff member for the organization. Working with the President, Bookkeeper, Audit team and Board of Directors, this person is responsible for the timely and accurate keeping of all student and some financial records.  

 

Day-to day duties include: 

  • Organize auditions process including scheduling of auditions, recording auditions, preparing materials for Audition Committee, reporting placement to students/families, and adding student/family into MYAC Salesforce and Quickbooks databases. 

  • Enter all registration information for classes, ensembles, festivals and competitions completely and accurately into SalesForce 

  • Prepare financial aid application worksheets for and assist in reviewing decisions with Scholarship Committee. 

  • With Bookkeeper’s assistance, prepare accurate and appropriate invoices and statements for dissemination to parents, donors and other stakeholders. Communicate with these stakeholders using a customer service-oriented mindset. 

  • Work with Bookkeeper in maintaining accounts receivable account. 

  • Work with Controller to maintain accounts payable account and issue checks for President to sign. 

  • Work with audit firm to prepare documents for and manage annual audit internally. 

  • Keep office, building and concession supplies on hand. 

  • Proactively develop recommendations and suggestions for how to improve quality of experience for students in the program.  

Requirements
Skills & Qualifications: 
Qualifications: 
 
- Experience with database/CRM systems. Proficiency with Salesforce and Quickbooks online preferred.  
 
- Knowledge of Microsoft Office Suite 
 
- Careful attention to detail, enjoys working with lots of detailed data and making sure it is clearly and accurately inputted and reported. 
 
- Excellent organizational, analytical, and communication skills. 
 
- Uncompromising integrity and good moral character. Calm under pressure. 
 
- Knowledge of paperless office operations preferred. 
 
 
 
Salary: commensurate with experience.
