POSITION TITLE:  Prospect Research Coordinator

Reports to: Associate Director of Development/Director of Major and Planned Gifts


Summary:Serves as an integral member of the Development team responsible for the coordination of research and prospect management functions, including the preparation of appropriate research profiles for all fundraising campaigns and potential board nominees, analysis of fundraising data, tracking of prospects along the giving continuum and identification of new funding sources.  Works proactively to expand the size and value of the Goodman’s prospect and donor base and is also responsive to research requests from Development staff. Tracks moves management steps and plans in Tessitura database and produces weekly fundraising reports and analysis.



  • Research
  • Use a variety of electronic and print resources to produce, maintain and update Individual and Institutional research profiles which include pertinent information such as background, career, financial capacity, philanthropic interests and nature of relationship to the theater
  • Mine the Goodman’s extensive patron database for potential prospects for Goodman giving campaigns; research new prospects and lapsed donors; identify donors with potential for growth and increased involvement
  • Uncover relationships between key members of the Goodman family, donors and prospects; monitor print and electronic publications and social media to keep current with business, political and society news and events and mine for prospects
  • Perform broad surveys of third party lists to assess more in-depth research needs
  • Create biographical sketches on attendees to Goodman events for use by the Executive Director, Artistic staff, Development relationship managers and Volunteers


  • Data Management
  • Generate and distribute weekly fund and gift detail report and respond to ad hoc reporting requests on campaign progress and goals
  • Administer prospect, solicitation and moves management tracking in the Tessitura database
  • Support relationship managers in the development of short and long-term cultivation and solicitation strategies for existing donors and new prospects
  • Convene monthly portfolio meetings with gift officers to review new prospects for adoption and track updates on assigned prospects 
  • Suggest protocol for information organization, storage, maintenance and retrieval; maintain and update electronic files and prospect research and moves management information in Tessitura
  • Oversee the organization and maintenance of the departments hard copy donor files
  • Perform gift entry and acknowledgement for Major Gift campaigns.


  • Assist at donor events as needed
  • Other duties as assigned


Knowledge, Skills and Experience Required:

  • Bachelor’s Degree and 2-5 years’ relevant experience with prior prospect research or fundraising experience
  • Knowledge of fundraising and research techniques
  • Database management knowledge and experience; Tessitura experience ideal
  • Familiarity with online and printed resource materials consistent with APRA Advanced Skills Set
  • High proficiency in Microsoft Office applications, especially Excel
  • Detail-oriented; proven organizational skills and ability to meet deadlines in a fast-paced environment
  • Strong writing and communications skills, team player
  • Able to provide wealth analyses, conduct comprehensive research and synthesize information to produce prospect analyses and profiles
  • Self-motivated, ability to work independently, creative and flexible
